3. Exec Committee


The purpose of this section is to help inform Doncaster Hockey Club members about the composition of the Executive Committee, the roles & responsibilities of those on the Committee and other roles carried out within the Club.

The descriptions of roles within the Club is a reflection of the paid staff and volunteers who are supporting the running of the club in 2024/25.

It does not follow the structure and all the roles set out in the club constitution.

The people involved will undertake other activities outside of these roles depending on their skills and available time.

Club President 2024/25 Sue Matthews

Role: To maintain a key focus on procedures, policies and to ensure Doncaster Hockey Club is an efficient Club.

Key Tasks:

• Oversee the running of the club during the year
• Arrange the Club AGM and run the event alongside the Club Secretary
• Attend the monthly committee meetings
• Be a contact person for members
• Help to identify key issues for the club and support the completion of these
issues
• Look at gaining new sponsorship where possible
• Co-ordinate EGM’s when appropriate
• Ensure the review of policies and procedures annually
• Organise the Appeals Committee when required

Club Chairman 2024/25: Neal Deakin

Role: To oversee the general running of Doncaster Hockey Club.

Key Tasks:

• Chair monthly committee meetings
• Take a leading role in the Club’s affairs and development
• Act as a signatory on the Club bank account
• Sit on the disciplinary committee when required
• Ensure club representation at County, Area and National levels

Club Secretary and Liaison Officer 2024/25: Bev Deakin

Role: To ensure the administrative function of Doncaster Hockey Club is carried out
efficiently and effectively.

Key Tasks:

• To liaise with other members responsible for aspects of club administration
(Umpires’ Secretary, England Hockey Liaison Officer, The Yorkshire & North
East League Liaison Officer, Press Officer and Webmaster).
• Maintain the club membership list and player contact details supported by Anna Clish. This includes player name, address, telephone, email and address contacts, date of birth, first aid/medical information, next of kin, coaching and umpiring qualifications.
• Recipient for new membership forms
• Primary contact for correspondence and dealing with it promptly
• Prepare and circulate agenda for Committee meetings
• Attend monthly Committee meetings. Record and circulate minutes promptly
• Send notice of forthcoming meetings and AGM

Treasurer 2024/25: Anna Clish

Role: To ensure the legal management of the club’s finances and advise the Chairperson and the committee of the Club’s up to date financial position. The financial year of the Club shall end on the 31st August each season.

Key Tasks:

• Manage the clubs financial accounts and ensure legal compliance with financial regulations.
• Prior to each season, agree a budget for identified activities with the Executive Committee and recommend subscription rates.
• To liaise with other members responsible for aspects of club finance (Pitch Manager, Club Secretary, Sponsor ship and Fund raising activities)
• Maintaining the Club’s bank account
• Primary contact for all invoices
• Act as signatory for all payments by the Club.
• Prompt banking of monies received
• Present an account of the Club’s finances at each meeting of the Executive Committee, and an examined set of accounts at the AGM.

Welfare Officer: Jonathan Causier

Role: To ensure the welfare of all members

Key Tasks:

• Ensure Club is operating in accordance with England Hockey guidelines
• Advise the Executive Committee on policy/procedural updates
• Keep up to date with safeguarding issues and attend courses on the matter if necessary
• Deal with any safeguarding issues within Doncaster Hockey Club should they arise
• Ensure all persons working with junior club members whether in the capacity of coach, umpire or parental volunteer are DBS checked.
• Maintain evidence of the DBS check, Safeguarding and Protecting Children Workshop Certificates, First Aid Certificates etc.
• Liaise with England Hockey and or the Police if necessary as part of an investigation
• Primary contact for all members with regard any welfare issues

Ladies Section representatives: Saskia Shakesheff & Pam Bate


Men's Section representative: Lewis Hildich

Role:To represent their individual section within the club and promote a supportive culture that ensures members:
• Pay for their membership of the club
• Conduct themselves with consideration for others
• Comply with all the rules of hockey including those of affiliated associations.
Liaise between captains and the committee to resolve team and player issues.

Key Tasks:

• Attend monthly Committee meetings
• Prepare report for the monthly Committee meeting
• Chair selection meetings and keep captains informed of club matters
• Relay Sections requests to the Committee
• Report back to the Sections
• Be responsible for and arrange their Section’s Annual Members’ Meeting
• Seek to ensure captains are in place by the start of each season.
• Kit selection

Junior Administrator: Ian Christlo

Role:
Working with the HC committee to oversee the development of the junior section,
ensuring that the club is offering hockey to all ages and abilities in the Doncaster
area, demonstrating good practice whilst having fun.

Key Tasks:
• To represent the junior section at HC committee meetings.
• To liaise with Junior Head Coach and Junior Team Managers in all aspects of
Junior performance and development including the continuing growth of junior
membership.
• Ensure that, where appropriate, junior players at DHC progress via the EH
Talent System. Co-ordinate and liaise with Junior Head coach on Talent System nominations.
• Assist in the preparation of the Club development and action plan, with
particular reference to the development of junior players, umpires and leaders,
and youth coaches and volunteers
• To oversee the recruitment of junior team managers.
• Assist the Junior Head Coach in recruiting and developing volunteer coaches
for junior training sessions.
• Ensure that Yorkshire Youth Hockey League / National Cup entries are made,
co-ordianted and communicated and that teams are prepared for competitions
• To ensure that junior development is properly representaed at senior team
selection.
• Be aware of the Clubs policy on Safeguarding and Protecting young people in
hockey.

Facilities Manager: Neal Deakin / Hywell Jenkins

Role: Ensure facility is maintained

Key Tasks:
The facilities manager will be responsible for the day-to-day operations and up keep of the playing area.

Their duties include:
· Maintenance
Ensuring that the playing area is well-maintained, clean, and safe. This includes overseeing building projects and renovations, and ensuring that basic facilities, are well-maintained.

· Budgeting
Managing budgets and ensuring that facilities operate within a set budget. Agreeing with the committee for any budget requirements.

· Contracting
Negotiating with contractors and suppliers, and overseeing and agreeing contracts and providers for services.

· Communication
Communicating with contractors, suppliers, and occupants to determine and discuss playing area needs.

· Data analysis
Collecting, examining, and interpreting data related to the facility's maintenance, energy consumption, and costs.·

· Staffing
Supervising facilities staff, including cleaning, maintenance, and security.

· Safety
Ensuring that the area meets health and safety standards. This includes running routine safety inspections, and ensuring that chemical safety reviews and audits are carried out.
