Key DECISIONS and ACTIONS from the Hockey Club Committee Meetings – 5 Mar 2018

Pitch Resurfacing and Funding Applications
We have passed Sport England’s initial assessment of our funding application to resurface the pitch. They will now assess the need for our proposals involving a site survey and further discussion with the club regarding costs. Should any funding grant be given it will unfortunately be less than what we have applied for.

We have also applied for England Hockey’s offer of a second hand surface from the Lee Valley Hockey Center in London. Whilst this would greatly reduce our resurfacing costs the life of the second hand pitch would be less than a new one and would not be as easy to maintain for multi sports including football from which we derive a large income. It is however a fallback position.

The information from these funding applications is readily available for anybody to make additional applications – it’s easy. Other fund raising activities are gathering pace so please support them – pitch squares sale and ‘last man standing’. The Race Night raised £1000. The committee approved a plan to hold a summer coaching event involving current GB players. We are aiming for completion of the resurfacing work before the start of the 2018/19 season. What we actually do will depend on how much funding we get.

Finance and the Club’s Consitution
Meanwhile the committee has been working on the a financial plan and changes to the club’s constitution as a condition of receiving funding grants and because we must make our own provision for the next pitch resurfacing in 10 years time. Annual savings to the pitch fund of at least £20k will be needed into the future.

The committee will be marketing reduced rates for football in off peak hours currently unused, and exploring options to free up more prime time for paying customers following a meeting with the Club’s coaches. This will involve discussion with Worksop College, Hall Cross, Hill House and other local schools to establish new longer term relationships with opportunities for funding of our pitch.

Options for Club’s constitution to underpin annual savings to the pitch fund include:
- The Club to maintain a single pitch sinking fund separate from all other accounts.
- The latest pitch sinking fund statement to be presented to each committee meeting and posted on the Club's noticeboard.
- £2000 per month to be paid into the pitch sinking fund from the clubs current account.
- (alternatively) Full cost of Club hockey hours to be paid into the pitch fund monthly.
- Money can only be moved from the pitch sinking fund by agreement of an EGM
